The long name joins three kinds of work. Your job has to fit one of them — and match your education or experience.

Engineering and humanities

  • A university degree related to the job, or
  • A Japanese vocational college (専門学校) diploma with the 専門士 or 高度専門士 title, in a related field, or
  • At least 10 years of work experience in the field

International services

  • At least 3 years of experience in the field
  • A university degree replaces the experience only for translation, interpretation and language teaching
  • Covers translation, language teaching, design, international business

Exceptions to the degree and experience rules

  • IT specialists: a pass in an IT exam on the Ministry of Justice list (for example ITPEC or Japan’s FE exam) replaces the degree and the 10 years of experience.
  • Translators and language teachers with a degree: no experience needed. For design, advertising or international trade a degree does not replace the 3 years.
  • Jobs with their own status do not fit here: university professor (教授), school teacher (教育), company manager (経営・管理), licensed attorney or accountant (法律・会計業務), doctor (医療), journalist (報道), transfer within your own company (企業内転勤).

Your employer decides how many documents you need

Immigration sorts employers into four categories. The larger and more transparent the company, the fewer documents it and you submit.

Extra documents from 15 April 2026

  • Category 3 and 4 employers submit a declaration about the company’s representative (所属機関の代表者に関する申告書).
  • Jobs that mainly use a language with people need proof of CEFR B2 in that language (see above); at extension only if the duties changed.
  • Work through a staffing agency (派遣) needs undertakings from the agency and the client company and the individual dispatch contract; at extension, also the records of both companies.

Forms and documents

Official forms and the documents you need

The forms are the same for most work statuses; the document set depends on the procedure and the employer category. Ask HR which category your company is in — part of the documents comes from the employer.

Two ways to get the status. From abroad, your employer in Japan applies for a Certificate of Eligibility (CoE) and you then get the visa at a Japanese embassy. Already in Japan — for example after language school or college — you apply for a change of status, usually a few months before graduation, once you have a job offer.

Employer category:

Category 1: Companies listed on a Japanese stock exchange, national and local government bodies, public corporations and similar organizations, “innovative” companies on ISA’s list and companies on the list 「一定の条件を満たす企業等」.

Category 2: Companies that withheld at least ¥10 million in income tax from salaries last year (per the 法定調書合計表 summary), and companies ISA has allowed to apply online with Category 2 documents.

Category 3: Other companies that filed the withholding-tax summary (法定調書合計表) for last year.

Category 4: All others — for example, a company founded this year that has no summary for last year.

Certificate of Eligibility (CoE) — you are abroad, the employer is in Japan

The employer in Japan files (a staff member, an administrative scrivener (行政書士), or you yourself if you are in Japan). With the CoE you apply for the visa at a Japanese embassy and enter Japan.

Change of status — you are already in Japan, for example after your studies

You file yourself before your current status expires, or a company employee approved by immigration (申請等取次者) or an administrative scrivener (行政書士) files for you. Graduates starting in April usually file between 1 December and the end of January, once they have a job offer.

Since 1 December 2025, when changing from Student, you can file the reduced Category 2 document set if you graduated from a Japanese university or junior college (短大), from a university ranked in the top 300 of at least two of three world rankings (QS, THE, ARWU), or if your employer already employs someone who changed from Student to a work status and has since extended that status while working there. Not for work through a staffing agency (派遣).

Extension of the Engineer / Specialist status

You file yourself no earlier than 3 months before your status expires. If you changed jobs and did not file the 14-day notification about your new employer, file it first.

What comes next

Family, job changes and the road to permanent residency

Family

Your spouse and children whom you support can join you on the Dependent visa (家族滞在) and work up to 28 hours a week with permission.

Changing jobs

File the Notification of the Contracting Organization within 14 days when you leave or join a company. More than 3 months without work under your status, without a good reason, is grounds to cancel it. The new job must fit this status too.

HSP and permanent residency

With enough points you can move to the Highly Skilled Professional visa: permanent residency after 1–3 years. The standard path is 10 years in Japan, at least 5 of them on a work status.

FAQ

Engineer / Specialist visa questions

For engineering and humanities work — yes: a university degree related to the job (or a diploma from a Japanese vocational college (専門学校), or 10 years’ experience). International services need 3 years’ experience in the field; a university degree replaces the experience only for translation, interpretation and language teaching.
Immigration does not formally require the JLPT, but most employers expect N2. From 15 April 2026, jobs at Category 3 and 4 employers that mainly use a language with people (for example translation, interpretation, hotel front desk) need that language at CEFR B2 — for Japanese, JLPT N2 or higher or BJT 400+.
The job must be related to your education or experience. If it is not, immigration refuses. Unskilled (simple manual) work is not allowed on this visa.
5 years, 3 years, 1 year or 3 months, depending on your situation. In practice, the first extension is often for 1 year, then 3–5 years with a stable job and a reliable employer.
Yes. With enough points you can change to the Highly Skilled Professional visa, which shortens the path to permanent residency to 1–3 years. You don’t have to change status for that: with 70 points for 3 years (or 80 points for 1 year) you can apply for permanent residency from this status too. The standard path is 10 years in Japan, at least 5 of them on a work status.
