When to apply for an extension

An extension (在留期間更新) is for people who keep doing the same thing on the same status. If what you do changes, you need a change of status.

Do not leave it to the last day. Online applications are not accepted that day, and in practice the bureaus can have long queues. If you apply in time, the special period (特例期間) protects you while your application is processed.

Who and where

Who files and where

  • You — at the regional immigration services bureau for your address, weekdays 9:00–12:00 and 13:00–16:00. From age 18 you file yourself or through an intermediary.
  • An intermediary (申請取次) — a staff member of your employer or school approved by the bureau, an attorney or an administrative scrivener (行政書士) you ask. You do not have to come yourself, but you must be in Japan.
  • For a child under 16 — a legal representative, or a relative or a person living with the child, with proof of relationship (for example a certificate of residence, 住民票). The same applies for an adult who is ill and cannot come, with a doctor’s certificate and a statement of reasons (理由書).
  • Online — through the online residence application system (在留申請オンラインシステム): you yourself from age 15 if you already live in Japan as a mid- to long-term resident with a My Number card; a legal representative; or a relative (spouse, child, parent) if the applicant is under 16 or ill. What is the same for every status

These documents and ISA files are needed for an extension of any status: the fee payment form, a template statement of reasons and the list of documents for applying early.

Extension — what is the same for every status

The applicant files in Japan, before the period of stay ends: with a period of 6 months or more, from 3 months before the end. Instead, a legal representative, a staff member of the employer or school approved by the immigration bureau, an attorney or an administrative scrivener (行政書士) can file; if the applicant is under 16 or ill, a relative or a person living with them. The application form and the other documents depend on your status — choose it in the ISA forms block above.

Documents

  1. Application for extension — a different form for each status 在留期間更新許可申請書Choose your status in the ISA forms block above: it gives the form, a filled-in example and the checklist.
  2. Photo, 4 × 3 cm 写真From 14 June 2026 a photo is needed for everyone aged 1 and over (before: from age 16).
  3. Passport and residence card — to show パスポート及び在留カード(提示)
  4. Health insurance — to show 健康保険証等(提示)Instead of the old insurance card you can show the 資格情報 screen in Mynaportal (マイナポータル), the 資格情報のお知らせ notice or a 資格確認書. If you have nothing to show, the extension is not refused for that reason.
  5. Resident tax certificates (assessment and payment), if your status requires them 住民税の課税(又は非課税)証明書及び納税証明書From the city office of your address on 1 January. If you cannot get them, ISA asks for a free-form explanation and, if you have them, your withholding slip (源泉徴収票) or pay slips.
  6. Fee payment form — needed after approval 手数料納付書At the bureau you stick revenue stamps (収入印紙) for the fee on it when you collect your new residence card.form · PDFform · Excel
  7. Proof of a special reason — if you apply earlier than 3 months before 疎明資料For example, study or a long business trip abroad, childbirth, a hospital stay, or the whole family applying together. The documents for each case are in an ISA file; contact the bureau first.ISA list · PDF

Statement of reasons — if the applicant is ill and cannot come 理由書Needed when a relative or a person living with the applicant files because the applicant is ill or cannot come for another good reason; add a doctor’s certificate. What decides it

The period you get, and why extensions are delayed or refused

Immigration chooses the period from those the law sets for your status — for most work statuses 5 years, 3 years, 1 year or 3 months.

What counts for 5 years

  • whether you file the notifications the Immigration Control Act requires
  • whether your school-age children go to school
  • the periods you were given before and how long you plan to stay in Japan
  • for work statuses — how your employer is doing
  • for family statuses — whether the person supporting the family pays taxes

Common problems

  • Not doing what your status is for. A student who was expelled but stayed in Japan, or a long absence from Japan on a re-entry permit, counts against you unless there is a good reason.
  • Taxes and contributions. Unpaid taxes count against you; large or long-standing arrears, including National Health Insurance, are judged the same way when the non-payment is deliberate. Since June 2026 ISA says it may receive payment data from other authorities.
  • Missing notifications. A new address, a change of employer or school, a divorce — notified within 14 days; the residence card renewed on time and replaced if lost.
  • Work, money, conduct. Work and part-time work within labor law, enough money to live on (your family’s income can count), no violations of the law.

From 2027 the check is set to get stricter. The government has decided that from March 2027 immigration will receive data on pension and insurance contributions. It also plans that from June 2027 immigration will receive city-office data on National Health Insurance contributions; under these plans, ISA is expected not to approve an extension, as a rule, when health insurance contributions are unpaid and there is no proof of payment or an installment agreement. Details are still being worked out.

Missed the date

What to do if your period of stay has ended

  • Go to the regional immigration services bureau at once — do not wait.
  • If you missed the date because of a natural disaster, illness or an accident, ISA accepts the application and does not start deportation just because of the delay. Contact the bureau as soon as you can.
  • If you come to the bureau yourself, are ready to leave at once, were never deported before, never left under such an order and have no conviction for serious crimes, a departure order (出国命令) may apply: a 1-year ban on re-entry. Also 1 year if, when deported, you were allowed to leave on your own by a set date (except after entry on a short-term visa). Otherwise the ban after deportation is 5 years, after a repeated one 10 years.
  • Since the 2023 amendment, a departure order (Article 24-3) can also apply if you tell immigration you intend to leave promptly after an investigation has started, before a decision is made.

Visa extension questions

With a period of stay of 6 months or more, from 3 months before it ends; with 3 months or less, once half of the period has passed. Earlier only for a special reason, such as study abroad or childbirth — contact the bureau first.
For applications received by 30 September 2026: ¥6,000, online ¥5,500. Yes: under ISA’s guidelines unpaid taxes count against you, and serious arrears, including National Health Insurance, are judged the same way. Pay the debt or agree on installments before you apply.
Go to the regional immigration services bureau at once: after your period of stay ends you are in Japan illegally. If you missed the date because of illness, an accident or a natural disaster, ISA accepts the application and does not start deportation just because of the delay.
If the new job is the same kind of work your status allows, you do not need a new permission: notify immigration within 14 days of the change and extend your status as usual when it is due. If the work is different, apply for a change of status before your period of stay ends and before you start the new job.
