Privacy policy
What personal data we collect when you use japaneasy.io and our services, why we need it, who we share it with and what your rights are.
1. Who we are
japaneasy.io and the JapanEasy service (“JapanEasy”, “we”, “us”) are operated by Chepolinko Inc. We decide how your personal data is used and are responsible for it.

2. What we collect
- Application form: first and last name, email, country, age, program, Japanese level, preferred city, intake, how you found us and your message.
- Contact form: name, email, country and your message.
- Messages you send us by email, WhatsApp or Telegram.
- Documents you send us for your school application, for example passport and diploma copies or your sponsor’s documents.
- Technical data: the IP address and browser information stored with each form entry (to prevent abuse), standard server logs, and — only if you accept them — analytics and advertising cookies (see our cookie policy).
3. Why we use it
- To help you — to answer your questions, suggest schools and prepare your application (steps you ask us to take before and under an agreement with you).
- To apply to the school you choose — with your consent.
- To keep the website secure and working — our legitimate interest.
- To measure how the website and our ads perform (Google Analytics, Meta Pixel, Google Ads) — only with your consent in the cookie notice.
We do not sell your personal data.
4. Who we share it with
- The language school you choose — only that school, and only after you have chosen it. The school uses your documents to apply to Japan’s Immigration Services Agency for your Certificate of Eligibility.
- Our own staff — only employees of Chepolinko Inc. work with your application.
- Service providers that process data for us: Amazon Web Services (website hosting in Tokyo, Japan); Google (Google Workspace email and Google Sheets, where we keep application records; Google Analytics and Google Ads if you accept those cookies); Meta (Meta Pixel if you accept it; WhatsApp if you contact us there); Telegram (if you contact us there).
- Authorities, if the law requires it.
5. Where your data is stored
The website and its form entries are stored in Japan. Email and application records are stored in Google Workspace; Google, Meta and Telegram may process data in other countries, such as the United States, under their own data-protection terms.
The European Commission recognises Japan as providing an adequate level of data protection. We handle personal data in line with Japan’s Act on the Protection of Personal Information (APPI).
6. How long we keep it
- Form entries and application records (on the website, in our email and spreadsheets): deleted 24 months after your last contact with us.
- Documents of students who enroll through us: kept for 5 years after the end of the course, then deleted.
- Cookies: see the durations in our cookie policy.
7. Your rights
You can ask us to show you the personal data we hold about you, to correct or delete it, to stop using it, and to withdraw your consent at any time (this does not affect what we did before). Write to contact@japaneasy.io; we reply within 30 days.
If you live in the EU or UK you can also complain to your data protection authority; in Japan, to the Personal Information Protection Commission.
8. Security
Only our staff who work on your application can access your data. The website uses an encrypted connection (HTTPS).
9. Age
You must be at least 16 to apply. If you are under 18, please apply with the consent of your parent or guardian.
10. Changes
If we change this policy, we publish the new version on this page with a new date.
