Changing jobs in Japan: visa, insurance and taxes

You can change jobs in Japan on a work visa: your status of residence is tied to a type of work, not to one company. But the switch is your responsibility. You check that the new job fits your status, tell immigration on time, stay covered by health insurance and hand your tax papers to the new employer. Here is the whole process, step by step and with deadlines.

Changing jobs in five lines

  • Same kind of work, same visa. If you move to a similar position — say, an engineer on the Engineer/Specialist status — you do not need a new status. A different field means a change of status first, then the new job.
  • Two notifications. Tell immigration within 14 days after you leave and within 14 days after you sign the new contract.
  • A gap of up to 3 months does not touch your status; longer without a good reason puts it at risk.
  • No gap in insurance. If the new job does not start the next day, join National Health Insurance and the National Pension at your city office within 14 days.
  • Taxes. Give the withholding record (源泉徴収票) from the old job to the new employer, and agree in advance how the rest of your resident tax will be paid.

Does the new job fit your status?

A status of residence allows a certain type of activity. The new company can be any company, but the work there must fall under the same type — otherwise you need a change of status before you start.

Engineer / Specialist in Humanities / International Services (技術・人文知識・国際業務) The new position is again engineering, specialist or international work linked to your degree or experience, and the pay is at least what a Japanese employee would get for the same job. The contract is with a specific organization, for ongoing work.
Specified Skilled Worker (特定技能) Your employer is named in your designation document: a new company needs a change of status (see below).
Other work statuses The new job stays within the same status. In doubt? Get a Certificate of Authorized Employment.
Permanent Resident, Spouse or Child of Japanese National or of Permanent Resident, Long-Term Resident No limits on the type of work — the status does not depend on your employer.

Certificate of Authorized Employment (就労資格証明書)

Language work and the B2 requirement. From April 15, 2026, if your Engineer/Specialist employer is in category 3 or 4 and the job is mainly translation, interpreting or customer service (a hotel front desk, for example), you must prove language ability at CEFR B2 — for Japanese, JLPT N2 or higher or a BJT score of 400 or more. You do not need proof if you graduated from a Japanese university, college of technology (高専) or vocational school (専門学校), finished compulsory and high school in Japan, or have lived in Japan for 20 years or more. If you already hold the status and a job change makes language work your main task, attach the B2 proof at your next extension; if your work stays the same, it is not required at extension (but immigration may ask). For a change of status — after a language school, for example — attach it to the application.

Leaving the old job

Notice, leave, documents

  • Notice. On an open-ended contract the law requires 2 weeks’ notice; company rules often say one or two months, and it is better to agree. On a fixed-term contract you can leave before the end only for a good reason or by agreement.
  • Sign the new contract first, then hand in your resignation: you keep an income, and your visa is not at risk.
  • Documents. Collect your withholding record (源泉徴収票, gensen chōshūhyō — the company must issue it within a month), the separation notice (離職票, rishokuhyō) if there will be a gap and you may need benefits, and the certificate of loss of insurance eligibility (資格喪失証明書) if you will join National Health Insurance at the city office.

Deadlines step by step

From your last day to the new contract

Example: you hold the Engineer/Specialist status, your last working day is November 30, 2026, you sign the new contract on December 15, and the new job starts on January 12, 2027.

Taxes when you change jobs

Resident tax and the year-end recalculation

Resident tax (住民税)

  • The new employer continues the deduction. The old and new companies fill in a transfer form (異動届出書) together and send it to the city office. Ask both companies early — this works best when there is no gap.
  • One lump sum from your last salary (一括徴収). If you leave between January 1 and April 30, this is required by law — as long as the last pay covers the remaining tax.
  • Paying yourself with payment slips (普通徴収, ordinary collection) — the city office sends them, and you pay at a convenience store, a bank or with an app.

Specified Skilled Worker

A new employer means a change of status

  • On the Specified Skilled Worker status your employer is named in your designation document (指定書), so a new company needs permission to change your status of residence (在留資格変更許可).
  • You may not work at the new company while the application is pending.
  • Time spent looking for work and waiting counts toward the 5-year limit of Specified Skilled Worker (i).

What happens to your visa

  • 14 + 14 days. Notifications about leaving and about the new contract; not filing can be fined up to ¥200,000.
  • 3 months without the activity of your status and without a good reason is a ground for revocation.
  • Extension. At your next extension immigration looks at the new job: position, pay, employer. Employees of category 3 and 4 employers attach resident tax certificates — see taxes and your visa.

If you have a family

Spouse, children, parents: what changes

A dependent for tax and a dependent for health insurance are two different things with different income limits. All the rules for families: Family and dependents.

  • Dependents in your company health insurance (被扶養者) lose it on the same day you do. If there is no gap, the new employer enrolls them together with you — hand over the papers for your spouse and children. During a gap there are no dependents in National Health Insurance: each family member is enrolled separately, within the same 14 days.
  • A spouse aged 20–59 who was your dependent in the pension system (Category III) also switches to the National Pension for the gap.
  • A spouse and children on the Dependent status (家族滞在) extend their status with your documents: a certificate of employment (在職証明書) and resident tax certificates. Ask the new employer for the certificate right away. More: Dependent visa and your spouse.

FAQ

Questions about changing jobs

Not if the new job is the same type of work your status allows. An engineer moving to another engineering job on the Engineer/Specialist status keeps the same status and only files the 14-day notifications. If the new job is in a different field, you need a change of status before you start. Specified Skilled Workers always need a change of status for a new employer.
Holders of Engineer/Specialist, Skilled Labor, Specified Skilled Worker and similar statuses file the Notification of the Contracting Organization within 14 days after the old contract ends and again within 14 days after signing the new one. You can file online, at a regional immigration bureau or by mail. Not filing can be fined up to ¥200,000.
Up to 3 months does not affect your status. After 3 months without doing the activity of your status and without a good reason, immigration can revoke it. Job hunting can be a good reason if you can prove it, so keep applications, interview invitations and Hello Work records. For Highly Skilled Professional (ii) the period is 6 months.
It is optional. It is worth getting if you are not sure the new position fits your status, because immigration checks it now rather than at your next extension. It costs ¥2,000, or ¥1,600 online plus a ¥220 settlement fee from October 1, 2026, and takes 1 to 3 months after a change of employer.
Your company insurance ends the day after your last day. Within 14 days join National Health Insurance and the National Pension at your city office, or within 20 days apply for optional and continued coverage of your old company plan, paying the full premium yourself. If the new job starts the next day, you do nothing: the new employer enrolls you.
On your first day, the dependents form, and as soon as you have it the withholding record from your old job. With both, the new employer includes the old salary in the December year-end adjustment. If you are not working at the end of the year, file a final tax return yourself; you will often get some tax back.
The rest of the year can move to your new employer with a transfer form, be taken from your last salary in one sum, or be paid by you with payment slips from the city office. If you leave between January 1 and April 30, the lump sum from the last salary is required by law when the pay covers it.
